Finance AI automation
How an Australian advice and finance firm can onboard clients without a scavenger hunt for documents, and give advisers an assistant that cites the file — while people still make the advice decision.
The situation
What was getting in the way.
An Australian financial advice firm onboarded clients across email, a portal they barely used, and a shared drive. Advisers asked staff to find the last statement. Reviews started late because the file was incomplete, not because the advice was hard.
The firm wanted speed. They also wanted an obvious line: models can collect, classify and draft from the client file. They cannot issue personal advice or move money.
This anonymised use case is a composite of the finance work Smarterapps Ai designs. It is not a named licensee and it does not claim a revenue or compliance outcome.

What we would build
The app, the assistant and the automation.
Each part is scoped so a person keeps the decision that matters. This is the shape of the engagement, not a claim that every module ships on day one.
01 — Onboarding
Client onboarding
A guided app that asks for the documents your process already requires and shows the client what is still missing.
02 — Files
Document intelligence
Statements, identification and applications classified into the file, with low-confidence items held for a person.
03 — Advisers
File assistant
An assistant that answers from the client file and your approved policy, and shows the source. It drafts a summary. It does not produce personal advice.
04 — Cases
Review workflow
Annual review tasks open when documents land, against the checklist your licensee already uses.
05 — Clients
Client portal
Secure messages, document requests and status, so advice staff are not the filing system.
06 — Core
Practice system integration
Writes to the CRM or planning system you run, with permissions that match adviser and support roles.
How it runs
From the first request to the system of record.
The automation prepares work. It does not take the action your organisation reserves for a person.
Step 01
The client completes a real checklist
The app collects what the process names. Missing items are requested before an adviser opens the file.
Step 02
Documents are filed, not dumped
Each file is classified. Anything uncertain waits. Staff see the original next to the suggested label.
Step 03
The adviser asks the file
Summaries and answers cite the document. Drafts are marked draft. The advice conversation stays with the adviser.
Step 04
Nothing moves money
Payments, product applications and advice documents wait for the person your policy names. The audit log records who approved what.
Outcomes
What this pattern is built to change.
Files that are complete before the meeting. The checklist is enforced by the app, not by a staff member’s memory.
Less time hunting statements. Advisers ask the file and see the source instead of forwarding an email.
Reviews that start on time. The workflow opens when the documents exist, against the licensee’s own checklist.
Advice stays with advisers. The assistant is refused the actions your policy reserves for a person.
Controls
What the automation is not allowed to do.
Client data is encrypted and limited to the servicing team. The assistant is grounded in the file and approved policy, not the open web. Personal advice, product recommendations and money movement require a named person. Retention follows the licensee’s obligations, which we implement rather than invent.
Smarterapps Ai builds the software and the operating guardrails with you. We do not invent a compliance position for your sector. The person you already hold accountable — clinician, adviser, officer, supervisor — still makes that decision.
This page is an anonymised composite use case. It uses a realistic Australian scenario. It is not a published result for a named organisation.

01 — Use case
How an Australian council or agency can offer a citizen app and an enquiry assistant that only speaks from approved information — and still keep a person, and an audit.
02 — Use case
How an Australian retailer can give customers one app, give the shop floor a task list that matches stock, and stop order questions landing in three.
03 — Use case
How an Australian hotel group can let guests change the easy things themselves, and give housekeeping and the desk one list — without a chatbot that invents a room.
FAQs
Questions we expect on the first call.
Can the assistant give personal advice?
No. It retrieves and drafts from the file and your policy. Advice documents are issued only by your authorised people.
How are uncertain documents handled?
They are held for review with the original beside the suggestion. They are not silently filed.
Will this satisfy our licensee on its own?
No tool does. We implement the controls your compliance owner specifies and keep an audit of automated actions.
Where should we start?
Onboarding or reviews — not both at once. Contact or chat and we will map one path and the actions that must stay with your advisers.
